Terms and Conditions
These terms apply to vehicle hire bookings made with Nationwide Vehicle Rentals Group Limited through our website, by telephone or email.
Last updated: 30 June 2026. These terms should be read together with your booking confirmation and rental agreement.
1. About us
Nationwide Vehicle Rentals Group Limited (company registration number 12008062, VAT registration number 323057924) (“NVR”, “we”, “us” or “our”) arranges vehicle hire across the United Kingdom. Our registered office is International House, 10 Churchill Way, Cardiff CF10 2HE.
We act as a booking agent and co-ordinate hire between you and our approved supply partners, who provide the vehicles. Your hire is subject to these terms, the details shown in your booking confirmation, and the rental agreement issued at or before delivery.
2. Definitions
- Booking — your request to hire a vehicle, including dates, locations, vehicle type and any extras.
- Booking confirmation — our written confirmation that a supply partner has accepted your booking and any payment conditions have been met.
- Customer or you — the person or business making the booking and/or named as the main driver or hirer.
- Hire period — the period from delivery until collection of the vehicle, as stated in your booking confirmation.
- Supply partner — the independent vehicle rental provider that supplies the vehicle for your booking.
- Vehicle — the motor vehicle hired to you under your booking.
3. Contract formation
- Submitting a booking enquiry or quote request through our website does not create a binding contract.
- A booking is confirmed only when we issue a booking confirmation and, where required, you have paid any deposit or balance due. Reaching the payment page alone does not confirm your booking.
- If we cannot fulfil your booking, we will notify you as soon as reasonably practicable and refund any payment taken for an unconfirmed booking.
- By accepting these terms at checkout, by telephone, or by proceeding with a confirmed booking, you confirm that you have authority to enter into the hire on behalf of yourself or, where applicable, the business named on the booking.
4. Eligibility and driver requirements
- All drivers must hold a full valid UK driving licence, or an equivalent licence acceptable to the supply partner and UK law, for the class of vehicle hired.
- Unless otherwise stated in your booking confirmation, the main driver must have held a full licence for at least 12 months and meet any minimum age requirement for the vehicle category booked.
- You must provide accurate driver details and, where requested, proof of identity, address and licence validity before delivery. We or the supply partner may refuse delivery if documentation is incomplete or unsatisfactory.
- Additional drivers may be added where available. Each additional driver must meet the same licence and age requirements and be named on the rental agreement before driving the vehicle.
- You must not allow any person not named on the rental agreement to drive the vehicle.
5. Pricing, deposits and payment
- Prices quoted on our website or by our team are based on the information you provide, including dates, locations, vehicle type, driver age and selected extras. Prices are subject to availability and may change before booking confirmation.
- Unless stated otherwise, quoted prices include VAT where applicable. Any optional extras, one-way fees, young-driver surcharges, or other supplements will be shown before you confirm your booking.
- For most bookings, a deposit of 25% of the total hire price is payable to secure the booking. The remaining balance is due before delivery unless alternative payment terms have been agreed in writing for an approved business account.
- Online card payments are processed securely through Super Payments. When you pay online, you may be redirected to a Super Payments hosted payment page. Super Payments processes your payment in accordance with its own terms and privacy policy. NVR does not store your full card details.
- Where agreed, payment may also be made by BACS or other method shown on your booking confirmation. Your booking is not confirmed until cleared funds are received where payment is a condition of confirmation.
- If payment is not received by the due date, we may cancel the booking and apply the cancellation charges set out below.
- A pre-authorisation or security deposit may be required by the supply partner at delivery. This is separate from any hire charges paid to NVR and is held against fuel shortages, damage, traffic fines, tolls or other liabilities arising during the hire.
6. Amendments and cancellation
- You may request changes to your booking by contacting us as soon as possible. Amendments are subject to availability and may affect the price.
- For most standard bookings, you may cancel free of charge if you notify us at least 48 hours before the scheduled delivery time.
- If you cancel within 48 hours of delivery, or fail to take delivery at the agreed time without reasonable notice, we may charge up to 100% of the hire price, reflecting costs incurred with our supply partner and lost hire opportunity.
- Business account, long-term, specialist or promotional bookings may be subject to different cancellation terms stated in your booking confirmation or account agreement.
- If we cancel your booking due to unavailability, vehicle defect, or circumstances outside your control, we will offer an alternative vehicle where possible or refund payments made for the affected booking.
- Refunds are returned to the original payment method where possible and may take several working days to appear, depending on your bank or card provider.
7. Delivery, collection and one-way hire
- We offer delivery and collection across the United Kingdom, subject to postcode coverage and vehicle availability. Delivery and collection times are estimates and not guaranteed unless expressly agreed in writing.
- You must ensure a suitable person is available at the delivery address to inspect the vehicle, sign the rental agreement, and provide any required documentation.
- One-way hire, where delivery and collection addresses differ, is available on selected routes and vehicle types only. Additional one-way fees apply where shown at booking.
- If you are not available at the agreed delivery or collection time, additional waiting, redelivery or recovery charges may apply.
8. Use of the vehicle
- The vehicle must be used only on public roads in the United Kingdom unless European cover or other territorial extension has been purchased and confirmed in writing.
- The vehicle must not be used for racing, rallies, competitions, tuition, hire or reward, carrying passengers for payment, carrying hazardous goods, or any illegal purpose.
- You must comply with all traffic laws, seatbelt requirements, load limits, and manufacturer guidance. You are responsible for safe and lawful use of the vehicle throughout the hire period.
- Smoking and carrying pets may be prohibited in certain vehicles. You must follow any restrictions stated in your booking confirmation or rental agreement.
- You must not tamper with the vehicle, its telematics, odometer, or safety equipment, or allow anyone not authorised by the supply partner to repair or modify the vehicle.
9. Mileage and fuel
- Unless stated otherwise in your booking confirmation, hire includes unlimited mileage within the United Kingdom for the agreed hire period.
- Most vehicles are supplied with a full tank of fuel and must be returned with a full tank unless a different fuel policy is stated at delivery. If the vehicle is returned without refuelling, a refuelling charge and administration fee may apply.
- You are responsible for using the correct fuel type. Misfuelling and resulting damage are your responsibility.
10. Insurance, damage and liability
- Standard insurance cover is included with hire, subject to the terms of the supply partner's insurance policy and any exclusions stated in your rental agreement.
- An insurance excess may apply in the event of damage, theft, or total loss. Optional excess reduction products may be available depending on vehicle class and hire length.
- You must report any accident, damage, breakdown or theft immediately to us and, where required, to the police. You must not admit liability or arrange repairs without our or the supply partner's prior approval, except where necessary for safety.
- You are liable for damage caused by negligence, misuse, prohibited use, loss of keys, interior damage, tyre damage not caused by a puncture on a public road, and any loss not covered by insurance.
- Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under English law.
11. Breakdown and replacement
If the vehicle breaks down during the hire period, contact us immediately using the emergency number provided in your booking confirmation or rental agreement. We or our supply partner will arrange roadside assistance where included. A replacement vehicle may be offered subject to availability but is not guaranteed in all circumstances.
12. Late return
The vehicle must be returned or made available for collection at the agreed time and location. Late returns may incur additional daily or hourly charges and may affect insurance cover. If you expect to be late, contact us as soon as possible.
13. Traffic offences, tolls and congestion charges
You are responsible for all parking fines, speeding penalties, tolls, congestion charges, clean-air charges and other motoring offences incurred during the hire period. We or the supply partner may pay fines on your behalf and recharge you together with any reasonable administration fee, or provide your details to the issuing authority where permitted by law.
14. Business accounts
Approved business customers may be offered consolidated invoicing, credit terms or bespoke pricing under a separate account agreement. Unless otherwise agreed in writing, business bookings remain subject to these terms. Credit facilities are subject to application, approval and ongoing review.
15. Your responsibilities
You agree to:
- provide accurate booking and contact information;
- inspect the vehicle at delivery and report existing damage before use;
- keep the vehicle secure and roadworthy during the hire period;
- return the vehicle in substantially the same condition, fair wear and tear excepted;
- return all keys, documents, accessories and equipment supplied with the vehicle.
16. Complaints
If you are unhappy with any aspect of your booking or hire, please contact us as soon as possible so we can investigate. We aim to acknowledge complaints promptly and respond within a reasonable timeframe.
17. Data protection
We process personal data in accordance with UK data protection law. Details of how we collect, use and protect your information are set out in our Privacy Policy.
18. General
- We may update these terms from time to time. The version published on our website at the time you accept them or confirm your booking applies to that booking.
- If any provision of these terms is found to be invalid or unenforceable, the remaining provisions continue in full force.
- We may assign or transfer our rights and obligations under a booking to another company within our group or to a successor business. You may not transfer your booking without our written consent.
- These terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction, without prejudice to your statutory rights if you are a consumer resident in Scotland or Northern Ireland.
- If you are a consumer, nothing in these terms affects your statutory rights under the Consumer Rights Act 2015 and other applicable UK consumer protection legislation.
